Is this your day-to-day?

What changes for your team?

01

Enquiries sit on individual phones.

Bring conversations into a shared inbox with a named owner.

02

Reps ask for the same details again.

Collect requirements with a Flow and keep customer context together.

03

The next call or proposal gets forgotten.

Create a follow-up with a due date and record the outcome.

How it works

One request. Four clear steps.

Start with a focused journey, agree who owns each step, and test it before expanding.

  1. 01

    Receive the enquiry

A prospect messages your connected WhatsApp number or replies to a campaign.

  2. 02

    Understand the need

Collect company, team size, and requirements using a configured WhatsApp Flow.

  3. 03

    Give it an owner

Assign a rep and keep their notes with the customer conversation.

  4. 04

    Agree the next action

Schedule a demo or proposal follow-up and update the lead record.

A customer example

From a demo request to an owned follow-up

See what your team collects, who takes responsibility, and how the next action stays connected.

Customer request
“Can we see a demo for our 20-person sales team?”
  • Team size: 20 people
  • Interest: shared sales inbox
  • Next action: arrange a demo

Illustrative scenario, not a live customer conversation. Actions depend on your configuration.

What your team does next

Assigned sales rep
  1. 01

    Requirements captured

The prospect shares their use case through a short Flow.

  2. 02

    Rep assigned

A teammate reviews the conversation and adds discovery notes.

  3. 03

    Demo follow-up created

The rep records a due date and confirms the next step with the prospect.

The outcome to aim for

The conversation, requirements, lead, and next action stay connected.

The tools behind the workflow

What helps you get it done?

How do we qualify an enquiry?

Use WhatsApp Flows to collect structured details, then review them alongside the customer record.

Explore Flows and customer records

How do we avoid unowned leads?

Assign a teammate in the shared inbox and keep internal notes visible to the people handling the enquiry.

Explore the shared inbox

Can we reconnect with our CRM?

Plan an API or webhook integration around the fields and events your CRM supports. Custom integration work may be needed.

Discuss your integration

Before your first live conversation

What do you need to get started?

Review plans and messaging costs
  1. 1

Choose the business number and sales teammates.

  2. 2

Define qualification questions and lead ownership.

  3. 3

Prepare approved templates for outbound follow-ups where required.

Live messaging requires a connected WhatsApp Business Account and applicable Meta setup and approvals. Workspace subscriptions and Meta messaging charges are separate. Custom integrations and automation need configuration.

Questions, answered

Make the next decision with confidence.

Practical answers about the workflow, setup, and what is not automatic.

Ask about your use case
Can several sales reps use one business number?

The shared inbox supports team access to the connected number, subject to workspace roles and plan limits. Assign conversations so the responsible rep is clear.

Does a Flow automatically qualify a lead?

A Flow collects the details you configure. Your team or a configured automation decides what those details mean and what happens next.

Can I send a proposal after the conversation has gone quiet?

Use an appropriately approved template when required outside the customer service window, and respect the customer's messaging permission and opt-out preferences.

Will this replace our CRM?

You can manage customer and lead context in the workspace. If you keep a separate CRM, scope the records and events you want to sync before building an integration.
